## Uploading transcripts manually

This is how you can manually upload a transcript to a selected [Interview](https://help.timebook.ai/hc/product-guide/core-concepts-and-objects/research-and-planning-objects/interview) in Timebook:

{% stepper %}
{% step %}
**Before you start: Supported file types**

{% hint style="info" %}
The following file types are supported for Timebook Interview transcripts:

* **.txt**
* **.vtt**
  {% endhint %}
  {% endstep %}

{% step %}
**Locate the transcript section on an Interview card**

1. Open an Interview card. You can do this in the \[**Interviews**] module or via a [Meeting](https://help.timebook.ai/hc/product-guide/calendar-and-scheduling/events/meeting) if your Interview is linked to one.
2. On the Interview card, find the \[**Transcript**] section in the middle. This is where you can upload the transcript.

{% endstep %}

{% step %}
**Upload the transcript**

1. Click anywhere in the \[**Transcript**] section to upload a .txt or .vtt file from your device.
2. The transcript file is now attached to your Interview. You can click on it to preview the text or use the AI-powered \[**Generate Insights**] option.

## Capturing Zoom transcripts from upcoming Meetings

The following procedure explains how to automatically capture a Zoom transcript and add it to an [Interview](https://help.timebook.ai/hc/product-guide/core-concepts-and-objects/research-and-planning-objects/interview) in Timebook.

{% hint style="warning" %}
This option applies when the Interview is linked to an upcoming [Meeting](https://help.timebook.ai/hc/product-guide/calendar-and-scheduling/events/meeting) scheduled in your Timebook calendar.
{% endhint %}

{% stepper %}
{% step %}
**Before you start: Zoom account settings**

{% hint style="info" %}
Enabling and creating audio transcripts for Zoom cloud recordings is available in the following Zoom plans: Pro, Business, Education, or Enterprise.

See [this Zoom guide](https://support.zoom.com/hc/pl/article?id=zm_kb\&sysparm_article=KB0065911) for more information on Zoom audio transcript requirements.
{% endhint %}

1. Sign in to the Zoom web portal. In the navigation menu, click \[**Settings**].
2. Open the \[**Recording**] tab and enable the \[**Cloud recording**] toggle.
3. In the \[**Advanced cloud recording settings**] section, select the checkbox next to \[**Create audio transcript**] to enable it. Click \[**Save**] to confirm.

{% endstep %}

{% step %}
**Zoom video enabled in the Meeting**

Make sure the \[**Video call**] toggle is enabled in your Timebook Meeting and Zoom is selected as the video call option.

<div align="left"><figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-9c79d1b48d3c1b89d124dc5ea06c265633ac2784%2Fimage.png?alt=media" alt=""><figcaption><p>Enable the video call option for your Meeting and set select Zoom.</p></figcaption></figure></div>
{% endstep %}

{% step %}
**Link an Interview to a Meeting in Timebook**

Use the dedicated section on the Meeting card to create a new Interview or link an existing one. The transcript will be captured and stored in this Interview.

<div align="left"><figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-7dbc366b02c43cec64dc9931e76f2508cb9cf01a%2Fimage.png?alt=media" alt=""><figcaption><p>Create an Interview for your Meeting or link an existing one.</p></figcaption></figure></div>
{% endstep %}

{% step %}
**During and after the Zoom video call**

{% hint style="info" %}
Remember to click \[**Record to cloud**] at the start of the Zoom video call.
{% endhint %}

Once the call ends, the transcript will be automatically uploaded to your Timebook Interview within a few minutes. You can find it in the **\[Transcript]** section of the Interview card.

<div align="left"><figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-4664adc84ac47e83334155ada8209c53fd47d96a%2Fimage%20(56).png?alt=media" alt=""><figcaption><p>The transcript will be automatically uploaded to your Interview once the video call ends.</p></figcaption></figure></div>
{% endstep %}
{% endstepper %}

## Retrieving Zoom transcripts from past Meetings

The following procedure explains how to automatically retrieve a Zoom transcript and add it to an [Interview](https://help.timebook.ai/hc/product-guide/core-concepts-and-objects/research-and-planning-objects/interview) in Timebook.

{% hint style="warning" %}
This option applies only to [Meetings](https://help.timebook.ai/hc/product-guide/calendar-and-scheduling/events/meeting) in your Timebook calendar that have already taken place **and include a Zoom recording**.
{% endhint %}

{% stepper %}
{% step %}
**Before you start: Transcript in the Zoom recording**

{% hint style="info" %}
Make sure the Zoom recording attached to the selected past Meeting **includes a transcript**.

The requirements for transcript capture in Zoom are explained in[ the first step of the previous flow](https://help.timebook.ai/hc/strategy-work/timebook-objects/interview/managing-interview-transcripts#before-you-start-zoom-account-settings).
{% endhint %}

<figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-8620c058d3eaccc6c82239ab846f3fcb2db2c3c5%2Fimage.png?alt=media" alt=""><figcaption><p>Link to the Zoom recording of a past Timebook Meeting.</p></figcaption></figure>
{% endstep %}

{% step %}
**Link an Interview to the Meeting**

Use the dedicated \[**Interview**] section on the card of a past Meeting to create a new Interview or link an existing one.

{% hint style="info" %}
When linking to a Meeting, you can only select an Interview that is not already linked to another Meeting and does not already have a transcript.
{% endhint %}

<div align="left"><figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-7dbc366b02c43cec64dc9931e76f2508cb9cf01a%2Fimage%20(54).png?alt=media" alt=""><figcaption><p>Create an Interview for your Meeting or link an existing one.</p></figcaption></figure></div>
{% endstep %}

{% step %}
**Automatic transcript retrieval**

The Interview object automatically retrieves the transcript from the Zoom recording attached to the Meeting.

<figure><img src="https://3284049081-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FvCMXgzPoiE4UXP4jn6B8%2Fuploads%2Fgit-blob-4664adc84ac47e83334155ada8209c53fd47d96a%2Fimage%20(56).png?alt=media" alt=""><figcaption><p>The Zoom recording transcript will be automatically retrieved and stored in your Interview.</p></figcaption></figure>
{% endstep %}
{% endstepper %}
