Customizing calendar appearance

The [Calendar] section in the [Preferences] module helps you customize the appearance of your calendar and its data. The three available tabs let you define everything from time format and work time to reminders and data visibility.

You can find your Timebook calendar in the [Agenda] tab of the [My Work] module, along with other personal content such as items you created, items assigned to you, and items on your watchlist.

To access this section:

  1. From the menu, select [Preferences].

  2. Open the [Calendar] section.

Options in the [Preferences] tab

Use the following settings to define your work time:


[Week starts on]

Decide which day you want to be displayed as the starting day in your calendar.

Select [Sunday] or [Monday] to become your week-starting day.


[Time format]

Choose your preferred time format.

Select either the [12-hour] option showing the AM/PM indicator or the [24-hour] option.


[Work time]

Select which days and hours you consider your work time.

Choose specific days of the week under [What are your work days?]. Then, define your preferred hours under [What are your work hours?].

If you want different working hours for different days, use the [Custom] switch for a more flexible selection.


[Availability]

Use the three sections here to define your available hours in the mornings, afternoons, and evenings.

Options in the [Calendar sharing] tab
  • You can choose to [Show free/busy only] so that others can see your booked and available time slots.

  • You can also decide to [Show events details] so that others know the names and types of your events.

  • Use the [Don't show anything] option to keep your Calendar data private and stop others from accessing it.

The setting above defines your schedule's visibility to everyone in your Workplace. You can override this setting for individual users. To do this, use the [Add individuals] section, pick as many users as you want from the dropdown, and define their individual access to your calendar data.

Options in the [Meetings] tab

Use the following settings to define your Meeting details:


[Remind before Meetings]

Define the timing of reminders for your Meetings.

Choose one of the available options from the dropdown menu. You will receive a reminder before every Meeting according to your selection.


[All-day Meetings]

Similar to the [Remind before Meeting] option, but limited to all-day Meetings only.

Choose one of the available options from the dropdown menu. You will receive a reminder before all-day Meetings as per your selection.


[Default Meeting duration]

Select the default Meeting length. When creating a new Meeting, this setting defines the Meeting’s duration.

For example, if you set it to 2 hours and create a new Meeting starting at 9 AM, the system will automatically set the Meeting’s end to 11 AM.

Click the dropdown next to the name of your in the top-left corner.

We will use your selection here in the presets for . Let's say you define your morning availability as 9-12 AM. If you then create a Shared Availability with the [Mornings] preset, Timebook will only suggest free slots between 9-12 AM.
